# Email Labeling

> Lindy automatically labels and sorts your inbox so you start every day in control

## Your Inbox, Handled

Lindy reads every incoming email and labels it, archiving what you don't need to see and keeping what matters visible. No rules to write, no filters to manage. Email labeling is a built-in **routine**, so it runs automatically on incoming email.

## Before you start

* A connected **Gmail or Outlook** inbox.
* A plan with Assistant features.
* Not turned off by your workspace admin. If it is, the card shows **Disabled by admin**.

If no inbox is connected yet, you'll see a **Connect account** prompt first.

## Turn on email labeling

    Go to the **Routines** page. On the **Personal** tab, find the **Email labeling** card ("Keeps your inbox organized"). Its badge shows the current state: **Off**, **On**, or **On for N of M accounts**. Click the card to open its drawer.

    Use the enable switch in the drawer header, or the toggle on the card. Toggling from the card turns it on across all your connected inboxes at once.

  Turning it on does nothing until you've created at least one label.

## Connect and pick your account

At the top of the drawer, each connected inbox shows as a chip, with a **+ Add account** button beside them. Click **+ Add account**, choose **Google** or **Outlook**, and follow the prompts to link another inbox. Everything you edit applies to the selected account only, so pick the chip first, then edit. **Remove account** turns off every email routine for that inbox.

Two drag-and-drop sections, each with a **+** to add a label:

* **Move these out of my inbox** — Lindy applies the label and archives the email.
* **Keep these in my inbox** — applies the label but leaves the email in your inbox.

Drag a label between the two sections anytime to switch that behavior.

In the **New label** / **Edit label** dialog:

* **Name** — the label text. Reserved Gmail names like Inbox, Sent, or Spam are rejected.
* **Color** — pick a swatch.
* **Instructions** — the important one: describe when Lindy should apply it, like *"Any email from an investor."* This drives the classification.
* **Remove on reply** — optionally clear the label once you reply.

**Create label** / **Update label** saves immediately (Cmd/Ctrl+Enter works too).

### Default labels

Lindy starts with a set of labels you can keep, edit, or remove:

| Label             | What it catches                                  |
| ----------------- | ------------------------------------------------ |
| **To Respond**    | Emails that need a reply from you                |
| **FYI**           | Informational, no action needed                  |
| **Newsletters**   | Subscriptions and recurring content              |
| **Comments**      | Mentions, comments, and notifications from tools |
| **Notifications** | System alerts and automated messages             |
| **Invoices**      | Bills, receipts, and payment-related emails      |

<Note>
  Email labeling is a **built-in routine**, so it doesn't expose the custom-routine extras (trigger, schedule, delivery channel, smart filter, or run history). It just runs on every incoming email. Its siblings on the Personal tab are **Email drafting**, **Email alerting**, and **Follow-up bumps**.
